Logging weekly sessions▸
On the Weekly tab each client is a row and each day is a column.
1. Tap a day cell to mark a session delivered (it turns green).
2. Tap again to undo, or mark it cancelled.
3. The session count and revenue update automatically.
Ticking a day for a client with a 2:1 partner auto-ticks the partner too.
Payments: Prepaid Packs vs Week-to-Week▸
Prepaid Pack — the client buys a block upfront (e.g. 10 × $90). Each delivered session deducts one credit; when the balance runs low you're prompted to record a top-up.
Week-to-Week — a fixed amount each week regardless of sessions. A missed session becomes a makeup credit they can use later at no extra charge.
Set the mode per client in their profile; record top-ups from the Packages tab or the client panel.
Creating an invoice▸
1. Open a client and tap Create Invoice (or use the Packages tab).
2. The invoice number auto-fills in sequence — you can override it.
3. Check the bill-to details and line items.
4. Tap Print / Save as PDF, then send it (or share directly).
Your business name, logo, ABN, payment terms and Stripe link (set in Settings → Business) appear automatically.
Managing leads▸
1. On the Leads tab tap + Add Lead (name, contact, goal).
2. Move them through the stages: Enquired → Trial → Follow-up → Converted / Lost.
3. When they sign up, tap Convert to create a client (face-to-face or online) — their details carry over.
Your Dashboard shows a Leads Converted stat so you can track your conversion rate.
Tracking expenses & importing from your bank▸
1. On the Expenses tab tap + Add Expense (amount, category, date).
2. For regular costs (rent, software, insurance) set a recurring rule to forecast them — they're reconciled against your bank import so they never double-count (use Mark paid for cash or non-imported costs).
3. To import in bulk, use Bank CSV Import — download your transactions as CSV from your bank, upload it, then confirm/categorise the rows.
Expenses flow into your profit figures and tax estimates.
Reading your reports▸
On the Report tab pick a period (week, month, quarter, or full financial year).
You'll see income, trainer cost, gross profit, overheads and net, with a comparison to the previous period.
Tap Export CSV on any view to hand clean numbers to your accountant.
Reading the tax estimates▸
On the Tax tab set your GST % and registration status. Income tax is estimated automatically from the current ATO brackets.
It then estimates the tax to set aside, GST collected, and BAS figures from your tracked income and expenses — so you can put money aside as you go.

Setting up your business profile▸
Open Settings (⚙) → Business:
1. Add your name, business name, ABN and contact.
2. Upload your logo (a light version for dark mode and a dark version for light mode) and your trainer photo.
3. Add your invoice notes / payment terms and Stripe payment link.
These appear on every invoice and on your profile.
Managing your account & subscription▸
In Settings (⚙) → Account you can see your sign-in email and method, send a password reset, enable two-factor (2FA), check your subscription/access status, and copy your referral link.

How do I set up Momentum for the first time?

3 steps to get going:
1. Add your clients — tap the Clients tab → + Add Client. Enter their name, session type, rate, and payment method (Prepaid Pack or W2W Direct Debit).
2. Log your first week — tap Weekly. Each client has a row. Tap a day cell to mark a session delivered.
3. Check your dashboard — tap Dashboard to see revenue, client counts, and anything that needs your attention.
That's it. Momentum tracks everything automatically from there.
What's the difference between Prepaid Pack and W2W?

How do I unlock Momentum / what is the access code?

If you have a subscriber access code, enter it in the "Already have a code?" field on the paywall screen.
If you're a new subscriber, tap Start Free 30-Day Trial to set up your subscription via Stripe. You'll receive your access code by email once payment is confirmed.
Your 30-day free trial starts the moment you subscribe — no charge until the trial ends, and you can cancel anytime.
Where is my data stored? Will I lose it if I clear my browser?

Your data lives in your browser's local storage on this device and syncs automatically to secure cloud storage while you're signed in.
That means: sign in on a new phone or computer and your business loads. If this browser's site data gets cleared, your cloud copy pulls straight back down at next sign-in.
Belt and braces:
• Still download a manual backup before big changes — Export Backup in Settings.
• If two devices change the same data, Momentum asks which version to keep — it never silently overwrites.

How do I mark a client away — holiday or injury?

Sessions have two away types: Holiday and Injury / Medical (shown with a red ✚ — covers sick, surgery and rehab breaks).
Both work the same way: no charge, no credit change — the week just shows why they weren't in.
Can I repeat last week's sessions?

Yes — use Repeat Week on the Weekly view to carry last week's session layout into the current week, then adjust the one-offs instead of re-ticking everyone from scratch.
How do I log a session?

On the Weekly tab, find the client's row. Each column is a day of the week (Mon–Sun). Tap the day cell to cycle through session states:
• Empty → session delivered ✓
• Tap again → paid cancellation
• Tap again → unpaid / no-show
• Tap again → makeup session delivered
• Tap again → back to empty
For more options (like marking away), long-press or hold the cell to open the full context menu.
What do the different session states mean?

Regular session (green) — session delivered, revenue counted. Paid cancellation (yellow) — client cancelled within the policy window (e.g. same day). Revenue still counted, pack credit deducted. No-show / unpaid cancel (red) — client did not show and is not charged. For W2W clients: a makeup credit is added. For pack clients: no deduction. Makeup session (blue) — delivering a session owed from a previous no-show. Decrements a makeup credit. Away (grey strikethrough) — client is on holiday. No charge, no credit change.
How do I view or edit a previous week?

At the top of the Weekly tab, tap the ◀ arrow to go back one week, or ▶ to go forward. The current week date range is shown in the centre.
You can go back as far as your data exists. All edits to previous weeks are saved automatically.
Can I add notes to a week or session?
▸
Yes. Tap the 📝 Notes icon on the weekly tab (usually at the bottom of the screen) to add a free-text note for the entire week. This is useful for recording public holidays, program changes, or anything else relevant to that week's training.

Open the Calendar tab and paste your calendar's secret iCal link.
• Google: Calendar settings → your calendar → Secret address in iCal format.

Each client can remember how they usually pay — it pre-fills new and imported sessions so you're not choosing every time.
Profiles missing key details (like a preferred payment method) get an incomplete flag on the roster so you can finish them off.
How do I add a new client?

Go to the Clients tab and tap + Add Client at the top of the page. Fill in:
• Name — client's full name
• Session type — what you call the session (e.g. "Training") and the hourly/session rate
• Payment method — Bank, Cash, or Stripe
• Billing type — Prepaid Pack or W2W (Week to Week)
• Contact details — optional phone and email
• Notes / goals — anything you want to remember about this client
Tap Save and they'll appear in your weekly grid immediately.
How do I edit a client's details or rate?

On the Clients tab, tap the client's card to open their profile panel. Then tap ✎ Edit to open the full edit form.
Alternatively, tap a client's name in the Weekly tab to open their panel, then tap 👤 Full Profile.
How do I archive or remove a client?

Open the client's edit form and scroll to the bottom. You'll find an Archive option which hides the client from active views without deleting their history, and a Delete option which permanently removes all their data.
Tip: Archiving is recommended over deleting so your historical revenue reports remain accurate.
Can a client have more than one session type at different rates?
▸
Yes. In the client panel's Session Types section, tap + Add session type to add a second type (e.g. "Assessment" at a different rate). Each type maintains its own pack balance. When you log a session, you can choose which type it was via the day cell context menu.
PACKAGES & PACK CREDITS

How do I record a pack top-up (client buys more sessions)?

Method 1 — Quick (from the client panel): Open the client's panel (tap their row or profile), find the Pack Balance section, and tap + Record Top Up. A small form expands in place — enter the number of sessions, amount, payment method, and date, then tap Save Top Up.
Method 2 — Full (from Invoicing tab): Go to the Invoicing tab, select the client, fill in the form, and tap Record Package. This also lets you attach an invoice.
How do I check how many sessions a client has left?

Open the client panel (tap their name or row in the Weekly tab). The Pack Balance section shows the current credit balance as a number and a progress bar. The balance is updated automatically as sessions are delivered each week.
Where can I see which clients are running low on pack sessions?
▸
The Dashboard tab has a Needs Attention panel. The 🔴 and 🟡 sections list clients whose packs are empty or low (1–3 sessions remaining). Tap Top Up next to a client name to record a new pack purchase immediately.
MAKEUP SESSIONS (W2W)

How do makeup credits work for W2W clients?
▸
W2W clients pay the same amount each week, even if they miss a session. When a session is missed (no-show/late cancel), Momentum records a makeup credit on the client's account.
When you later deliver a makeup session, mark it as Makeup in the day cell context menu. This decrements their credit balance by 1.
Makeup credits never expire and can accumulate if multiple sessions are missed.
Where can I see the makeup credit balance?

Open the client's panel (tap their name in the Weekly tab). The Makeup Credits section shows the current balance — the number of makeup sessions they're owed. You can also manually adjust the balance here using the + and − buttons if needed.
Can I manually adjust a client's makeup credit balance?
▸
Yes. Open the client panel and use the − and + buttons in the Makeup Credits section to adjust the balance up or down. This is useful if you need to correct a historical entry or agree to adjust a balance with your client.
INVOICING

How do I mark an invoice as paid?
▸
Open the invoice and hit Mark paid. Paid invoices show a PAID badge, so outstanding vs settled is obvious at a glance.
How do I create and send an invoice?
▸
Go to the Invoicing tab and scroll to the Invoice Builder section. Select the client, fill in the line items (sessions, rate, etc.), then tap Generate Invoice.
How do I add my business name, ABN, and GST to invoices?
▸
Tap the ⚙ Settings icon (gear icon, usually top-right). In the Business Details section, enter your trading name, ABN, address, and bank details. These will automatically appear on every invoice.
If you're GST-registered, enable the GST Registered toggle and set your GST rate (default 10%). GST will then be shown as an included-in-price line item on all invoices and BAS reports.
Are invoice numbers assigned automatically?

Yes. The invoice number field auto-increments each time you generate a new invoice. You can manually override it if you need a specific number. The prefix (e.g. "INV-") is editable in Settings.
EXPENSES & BANK IMPORT

How do I add an expense manually?
▸
Go to the Expenses tab and tap + Add Expense. Enter the date, description, amount, category (e.g. Equipment, Marketing, Insurance), and whether it's GST-inclusive. Tap Save.
How do I import my bank transactions via CSV?
▸
Step 1: Log into your bank's internet banking. Go to transaction history and export as CSV. Supported banks include NAB, CBA, ANZ, Westpac, ING, Macquarie, Bendigo, Suncorp, and Up Bank.
Step 2: Go to the Expenses tab → expand Bank CSV Import → select your bank → drag and drop the downloaded CSV file onto the upload area.
Step 3: Momentum will parse the transactions and show a preview. Review the entries, categorise them, and tap Import Selected to add them to your expenses.
What expense categories are available?

Momentum includes common PT business categories: Equipment, Software & Subscriptions, Insurance, Marketing & Advertising, Education & CPD, Uniforms & Clothing, Travel, Rent & Facilities, Professional Services, and Other.
These categories feed directly into your BAS report and Tax Summary, so categorising accurately is important for your accountant.

How do I generate my BAS report?

Go to the Tax tab. Select the BAS period (quarter) from the dropdown and tap Generate BAS Report. The report shows:
• Total GST collected on income (G1 / 1A)
• Total GST paid on expenses (1B credits)
• Net GST payable
• Gross income and expenses for the period
You can print this report to give to your tax agent, or use the numbers to complete your BAS on the ATO's Business Portal.
Where can I see my annual income and profit summary?

The Reports tab shows a full income and expense breakdown. Choose a date range (monthly, quarterly, or custom) to see total revenue, total expenses, and net profit. You can print this summary for your accountant at end of financial year.
Can I see a revenue breakdown per client?

Yes. On the Dashboard, expand the Income by Client panel. It shows a bar chart of each client's revenue contribution over the selected period. You can also drill into a specific client's profile to see their full session and payment history.

BACKUP & DATA

How do I back up my data?

Go to Settings (gear icon) → Export Backup. A JSON file will download to your device containing all your clients, sessions, packages, and expenses. Save this somewhere safe (e.g. iCloud, Google Drive, or email it to yourself).
Tip: Back up at least once a week, especially before any browser updates or device changes.
How do I restore from a backup?

Go to Settings → Import Backup. Tap the file picker and select your backup JSON file. Your data will be restored.
Warning: Importing a backup will overwrite your current data. Make sure you're importing the correct file.
How do I move Momentum to a new phone or computer?

Just sign in. Your data syncs to secure cloud storage while you're signed in — open Momentum on the new device, sign in, and your business loads automatically.
Want a manual copy as well? Belt and braces:
1. On your old device, export a backup (Settings → Export Backup).
2. Transfer the file to your new device (email, AirDrop, Google Drive, etc.).
3. On the new device, go to Settings → Import Backup and load the file.
HOW YOUR NUMBERS ARE CALCULATED

How is my weekly revenue calculated?
▸
Every ticked session bills at that day's rate: a per-day session type rate if you've set one, half the pair rate for a 2:1 session, otherwise the client's base rate on that date — when you change a rate, past weeks keep the old rate.
W2W clients: the weekly debit stays constant. A missed session still counts as revenue in the week it was missed (the debit was paid) and a makeup credit is recorded. The makeup delivery later is not billed again — so nothing is double-counted.
Prepaid clients: each delivered session bills at that day's rate and uses one pack credit. Online coaching income for the week is added on top.
Open any prepaid client's panel and the Pack Balance section shows the working under the number, e.g. "10 bought − 7 delivered = 3 left". If part of the balance can't be explained by recorded top-ups — a starting balance from before you used Momentum, or a manual credit edit — it's shown honestly as adjustments rather than hidden.
Unticking a session puts the credit straight back. A negative balance is flagged in Needs Attention → Data Checks.
What are the Data Checks in Needs Attention?

Momentum quietly checks your data for numbers that shouldn't be possible and lists them under 🧮 Data Checks on the Dashboard:
• Negative pack balance — a session was ticked without a matching top-up.
• Sessions on an archived client — ticks this week on someone you've archived.
• Sessions on future days — marked done before the day has happened (usually a mis-tap).
Each row has a button that takes you straight to the fix. No checks shown = nothing impossible found.
Can I verify the numbers myself?

Yes — nothing is hidden. Totals are recomputed from your raw session records every time you open a view (never cached), the pack working is shown in each client's panel, and Settings → Export Backup gives you every record as a plain, readable file you can open anywhere. If a number ever looks wrong, the Data Checks section is the first place to look.
